Complete this task to create a new Connect Back Office case from a submitted Connect Mobile Assistant (CMA) case. Use the appropriate method below to create a case from a CMA case containing an image or from a case that does not contain an image. 

The CMA charge capture data is imported into the case. Upon completion of verifying the data that is being imported into the case from the CMA charge capture file, the Case: New page appears. Complete all pertinent information on the case and process following normal procedure.

From the Image Batches > Charge Batches tab, click Create Image Batch (or press [Alt] + C). The Create Image Batch window opens.

Click Search. The Practice search drop down opens.


3Open the Practice drop down list and select the practice associated with the image set.

Click OK. A list of image sets for the practice is displayed.


5Select the image set(s) to include in the image batch.

Click OK. A new Image Batch window opens.

Enter the image batch details:

  • Description is a free text field to enter information or notes about the image batch.
  • Practice defaults based on the practice selected for your image set search.
  • Batch Type defaults to Charge as it is tied to a CMA case.
  • Facility (optional) facility where procedures in the charge batch were performed.
  • Date of Service (DOS) (optional) of the procedures in the charge batch.
  • Charge Received (optional) date for the procedures in the charge batch.
  • Payer (optional) associated with payments in the payment batch.
  • Plan (optional) associated with payments in the payment batch.
  • Created, Updated, Posted system generated dates/times for the image batch

8When finished, click Save. A new image batch line appears in the Batches section of the Charge Batches tab.


9Select the new batch line, and then click Create Charge Batch. The Charge Batch: ID page opens.
Alternately, you can select the new batch line, then select the set from the Sets section and click Code. This opens the Coding tab where you can create/update the case prior to creating the charge batch.
10Click the Image Batches tab.
If at any time you wish to unlink the case to the charge batch, highlight the charge line and click Unlink Charge.

In the Image Sets section, select the created image set, then click Create Case. The Case: ID page opens.

Create the case.

For EDC Clients only:

The Demographic Import window opens at the Choose Patient step. The data from the CMA case data is compared to the data from the Persons table in Back Office (Existing Person). If the data from the CMA file does not match the Existing Person data, the information that does not match is highlighted in yellow on the EDC Data column. If the patient does not have a person file, the Existing Person area is shown but not available for data entry. To use the data from the CMA file, click >> to copy the data from the EDC Data column to the Existing Person column. As the data is copied to the Existing Person column, the yellow highlight is removed from the EDC Data column.

 

  • If there is more than one existing person record, the Select a Person window opens. Click on the person, then continue at the next step.
  • If there is an existing record for that person, the data from the existing person appears in the Existing Person column.
  • If data from the CMA file does not match the data from the Existing Person record, the CMA data will be highlighted in yellow.
  1. Make the necessary corrections to either the CMA data or Existing Person data. If no edits are required, continue with case creation.

    If the patient is new and his or her information has never been input into a new Person profile, you need only fill in the desired data in the EDC Data column, then click Next>>. You may input insurance, guarantor, and other pertinent information in the Case: New page.

     

  2. Click the option for updating the person demographics on the case.

    The demographic import will not include the patient selection. This information must be entered manually on the Patient, Guarantor & Insurance tab in the case.

    Create new person from EDC

    A new person record is created from the EDC data with any updates that are entered and added to the Persons table.

    Create new person from right side

    A new person record is created from the Existing Person data with any updates that are entered and added to the Persons table.

    Update existing person (right side)

    The Persons table is updated with the data from the Existing Person data with any updates that are entered.

    Use existing person without updating

    The existing person record is used and no change is made to the Persons table. The data from the Existing Person column is used in the case.

  3. Click Next>> to proceed.

From the Charge Batches > Batches tab, do one of the following:

  • Click Create (or press [Alt] + C). The Create Charge Batch window opens.
    Fill in the charge batch information and click OK.
  • Click on an existing Charge Batch, and then click Update (or press [Alt] + U). The Charge Batch: ID page opens.

Create or Update the cases.

For EDC Clients only:

  1. Click the EDC Files tab.
  2. In the Staging Charges section of the EDC Files tab, click Link Charges. The Link Charges window opens.
  3. Select the appropriate CMA case, then click OK. The CMA case is listed in the Staging Charges section.
