Overview
The Scan Batches tab is used to manage case and payment scan batches containing image sets related to cases or payments. For example, an anesthesia record or encounter form is related to a charge and would be scanned into an image set of a case scan batch. The explanation of benefits (EOB) is related to a payment and would be scanned into an image set of a payment scan batch. Images can either be from scanned documents or from images of another source (for example, e-mail) that have been imported into an image set.
Use the Scan Batches table to manage scan batches:
- Verify the current status of a charge or payment scan batch
- Create scan batches for cases/charges or payments
- Update an unposted case or payment scan batch
- Delete an unposted case or payment scan batch
- Post a case or payment scan batch
Field Definitions

Scan Batch Filters | Drop Down | No | You can filter the case or payment scan batches in the list by Batch Status. By default, this filter is set to Any, indicating all scan batches, regardless of the batch status, are listed. To filter the list of scan batches, select either Posted or Unposted. The contents of the table refreshes to show only those charge or payment scan batches with the status you select. |
Practice | Display Only (pulled from created/updated Image Batch) | Yes | The practice associated with the image batch (Batch ID column). |
Created | Display Only (system-generated) | Yes | The date and time when the charge or payment scan batch was created. By default, the table is sorted by this column in ascending order. |

Description | Display Only (pulled from created/updated Image Batch) | No | The Scan Batch description. This information is also accessed by clicking on the icon in the upper left-hand corner of the Image Viewer. |
Set Count | Display Only (system-calculated) | Yes | The number of image sets in the scan batch. Each image set contains only the images related to a specific charge or payment. |
Creator | Display Only (system-generated) | Yes | The name of the person who created the charge or payment scan batch. |
Batch Status | Display Only (system-calculated) | Yes | The current status of the charge or payment scan batch. |
Batch Type | Display Only (pulled from created/updated Image Batch) | Yes | The type of scan batch that was created, either charge or payment scan batch. |
