Use this task to import the EDC source files submitted by a particular hospital. The EDC source file contains patient demographics and insurance information recorded at the facility where the patient was treated.

 

This feature requires a software license issued by Solutions. If the menu item is not available to you, you do not have access to this feature. The software license for EDC Import is issued when the custom interface is released to the specified client.

From the EDC Import page, open the Practice drop down list and select the practice associated with the EDC file.

 

2Open the Interface drop down list and select the applicable interface for the hospital download. 
3If the Configuration option appears, open the Configuration drop down list and select the EDC interface configuration.
  • When the EDC source file does not include facility information, you must click the EDC interface configuration.
  • When there is only one EDC interface configuration for the practice, this configuration will be the default EDC interface configuration.

  • When the EDC source file includes facility information, the facilities are mapped in the EDC interface configuration and it is not necessary to select the EDC interface configuration.

4To archive the EDC file immediately after importing into the EDC import table, select the Archive file after successful import checkbox.
If selected, an Archive folder is created in the same location (file path) as the imported EDC file if the archive folder does not already exist. The file will be placed in the Archive folder after the import process is complete.

In the File field, select the file for import:

  1. Click the Browse button. The Open window displays.
  2. Select the EDC file (source data file) being imported. Note: Look in the folder where the EDC file is stored.
  3. Click Open. The path to the file appears in the File field and the process begins.

When the process is complete, records from the EDC source file appear in the table.

 

During the process, EDC source file data  are separated into elements that can be imported into cases. This data is mapped to the destination (for example, patient demographics) using the mappings from the EDC interface configuration. By default, the records  are sorted by the facility case number.

If during this process, data cannot be fully mapped, the following occurs:

  • The EDC Exceptions report appears in a preview window. Use this report to make the necessary corrections to the mappings in the EDC interface configuration.

  • The number of incomplete records are reported with a hyperlink to the report on the left of the Commit button.  

Records can be committed without being fully mapped, but data will be missing in the case. Make the necessary corrections in the EDC interface configuration.

If the data is not fully mapped, review the Mapping Exceptions report, and do the following:

  1. Correct the mappings in Admin > EDC Interface Configurations. If necessary, return to EDC Import and use the hyperlink to review the report until all mapping exceptions are corrected.

  2. After updating the EDC interface configuration, return to EDC Import and repeat the import process until there are no incomplete records.

Click Commit to download patient demographics to a staging area before completing the import process. All records are downloaded where they remain until the demographic import is completed.

Note: A confirmation message appears upon completion.

 
9Click OK to close the confirmation message. The EDC files are committed.
Imported EDC files are matched to image sets that are code complete. Records are matched by facility number, external case number, or both.
