Overview

The Practice: New and Practices: [name] pages are comprised of eight tabs:

The Statements tab includes rules that determine general content and statement generation for financial statements for the practice.  The content options specify whether statements include only those procedures that are the financial responsibility of the guarantor, credit card options, and the office hours of the practice. The statement generation options specify the frequency in which statements are generated and whether accounts with low balances or procedures with credit balances are included on the statement.

How to Get Here?

To open the Statements tab for new practice:

  1. Click Practices from the Admin list.
  2. Click Create.
  3. Click the Statements tab.

Credit Card Options Section

The selected options will be included on the financial statements with an area to enter credit card payment information.
Suppression Section

Determines whether a statement is generated based on account balance. If this option is selected, statements will not be generated on any account that has a credit balance, a zero balance, or a balance less than a value you specify.

To generate statements regardless of the account balance, clear the checkmark.

Do not generate if the account is flagged as Returned Mail CheckboxNo

Specifies that statements be not generated when the account is flagged as having returned mail. When the account is flagged for Returned Mail, select the checkbox to not generate statements. Statements will not be generated until the flag is removed on the General tab of the Account: [ID] page in Connect Back Office.

Include On Account in Statement BalanceCheckboxNo

Determines if the On-Account Balance amount is utilized in calculation of the Account Balance. Statements are generated for a non-zero Account Balance. 

If the option is checked, the On-Account Balance is utilized in the calculation of the Account Balance.

NOTE: If the Service Line Balance + On-Account Balance = 0, no statement is generated. 

If the option is not checked, the On-Account Balance is not utilized in the Account Balance calculation and the statement is generated based solely on the Service Line Balance amount.

Statement Messages Section


Statement Language Drop DownYes

The language in which statements will be printed. By default, this option is set to English. To specify a different language, select one from the list. Currently, the supported languages are English, Spanish, French, German, Italian, and Portuguese.

The statement sent to the patient is based on the language associated to the guarantor (but can be updated in this field). The system does not translate the statement; it must be entered in the corresponding language.

Statement Messages Free TextNo 

The message appropriate to the aging bucket as defined in the Interval (in days) option on the General Practice Information tab. Based on the age of the account, the appropriate message is printed on each statement generated. Only one message will be printed on the statement. 

When a payment is not made within the statement cycle, the statement message advances to the next statement message in the message series.

Payment resets statement message levelCheckbox No

The option to specify which statement message is printed on the current statement.

If checked, the system compares the aging statement message and the account activity to determine which statement message is printed on the current statement. If a payment is made during the statement cycle, the first statement message in the series is printed on the statement. If a payment is not made during the statement cycle, the applicable message for the age of the account is printed on the statement.

If not checked, then regardless of whether a payment is made during the statement cycle, the statement message based on the age of the account is printed on the current statement.

Procedure Description Section


Procedure Description Radio SelectionNo

The option that determines what procedure description will be printed on the generated statement. Options include:

  • Default - the long description for the type of code entered in the Code field. If an ASA code is entered, the ASA long description is displayed on the statement. If a CPT code is entered, the CPT long description is displayed on the statement.

  • CPT short description

  • ASA short description

  • Custom - custom message based on the type of procedure (Non-anesthesia procedure, Anesthesia procedure performed by Physician, or Anesthesia procedure performed by non-Physician (e.g., CRNA). The system automatically recognizes what type of procedure it is and pulls the applicable custom message.

DMA / Statement Vendor Section 

Service is provided through DMA printing and mailing outsourcing services and requires setup by Solutions for a practice. If this service is not setup for the practice, the address correction options are not available. The DMA Address Correction options control whether address corrections are processed automatically or manually. When set to process automatically, address updates and addresses flagged as returned mail go directly to the History tab of Address Corrections in Connect Back Office. 
Automatically generate and submit statementsCheckboxNo

If selected, statement batch generation is triggered for the selected practice and queued for delivery to DMA. 

Upon selecting the checkbox, you can designate the Frequency as Daily or Weekly.

  • If the Frequency is set to Daily, the statement batch should be created and submitted daily.
  • If the Frequency is set to Weekly, the Day of the Week drop down is enabled to select a day of the week for the job to be run once a week, on the selected day.
Automatically apply NCOA/ACS address updates CheckboxNoSpecifies that NCOA/ACS address updates be applied automatically in Connect Back Office. By default, this checkbox is not selected, indicating that address updates are applied manually. When applied manually, you must decide whether the address corrections are approved or denied and then moved to the History tab on the Address Corrections page. To automatically apply the address updates, select the checkbox.
Automatically apply Returned Mail Status CheckboxNo

Specifies that the account be automatically flagged with the Returned Mail status if the address update from DMA indicates mail has been returned on the address. The account is flagged in Connect Back Office as needing action because of returned mail. By default, this checkbox is not selected, indicating that accounts must be flagged manually for return mail. When applied manually, you must decide whether the account is ignored or marked, then moved to the History tab on the Address Corrections page. To flag accounts automatically, select the checkbox.

If the Automatically roll accounts flagged as returned mail to external collections option is checked on the Practice: [ID] > External Collection Agencies tab, any guarantor balance in guarantor responsibility and not currently in external collections will be rolled to the pending tab of External Collections if the account is flagged for returned mail. The outstanding balance does not have to meet requirements for either internal or external collections for this function; however, External Collections must be configured for the practice.

Include Facility Name on statements/e-statementsCheckboxNo

If selected, the Facility Name is included in the DMA statement file. If not selected, the column is left blank in the file. 

Statement Hold Removal Section


Remove account statement hold when balance reaches zeroCheckboxNoIf checked, nightly process will identify any accounts with a statement hold, and if the overall balance of the account is zero, the statement hold will be removed. This option is selected by default, but can be de-selected as necessary.
Remove service line statement hold when balance reaches zeroCheckboxNoIf checked, nightly process will identify any service lines with a statement hold, and if the balance is zero, the statement hold will be removed.  This option is selected by default, but can be de-selected as necessary.
